Document Manager / Assistant (m/f/d)

This position is part-time (20-30 h / week).

Your Tasks 

  • Administrate a documentation sharing and collaboration platform for contract revisions and drafting purposes as well as ensure the proper distribution of documents and other related information  

  • Cooperate with IT and other departments in maintaining the integrity of the document management systems as well as train and provide guidelines to colleagues on how to use the platforms 

  • Implement and secure a documentation and publishing process 

  • Organise and manage the internal archiving system 

  • Provide final approval on documents in the publishing process by ensuring that all documents meet the standards concerning accuracy, completeness and formatting

  • Develop and establish a record of documentation for KPI purposes 

  • Support KPI analysis and process optimization 

  • Coordinate trainings as well as training content for the team 

 

Your Qualifications

  • Degree in business administration, completed commercial apprenticeship or equivalent qualification

  • Proven experience in document or record management and strong understanding of document control systems and processes 

  • Proficiency in MS Office, preferably in Microsoft Teams

  • Fluency in German and English, ideallyincluding expertise in a bilingual contractual environment 

  • Excellent organisational and communication skills 

  • Ability to communicate effectively with team members and other departments

  • Capability to manage multiple projects or and prioritize task
