We are now looking for a structured and detail-oriented HR Administrator to support our Global Mobility and business travel processes across the Nordic region. This role is ideal for someone who enjoys administration, working with data, creating structure, and improving processes. Previous experience in HR or Global Mobility is not required – we are looking for the right mindset and skills.
About the Role
In this position, you will play an important role in ensuring that employee business travel is documented and administered correctly. You will work closely with internal stakeholders such as HR, Legal, Tax, Payroll, and managers across the Nordic countries.
A significant part of the assignment will involve reviewing historical business travel data, building a structured database, and helping establish efficient processes for future administration.
Key Responsibilities
- Support employees with applications for A1 certificates related to business travel.
- Manage and monitor a dedicated business travel mailbox.
- Review and analyse business travel records from the beginning of the year and compile relevant information in a structured database.
- Prepare and provide travel-related data to stakeholders such as Tax, Legal, Payroll, and other internal functions.
- Coordinate and submit Posted Worker Notifications (Postings) when employees from the Nordic countries travel on business to other countries.
- Develop and implement efficient processes, structures, and documentation routines for collecting and maintaining travel-related information.
- Continuously identify opportunities to simplify administration and reduce manual work for the HR team.
- Support with organizing and improving personnel archives, including potential digitization projects, if time permits.

- Excellent written and spoken English.
- Good knowledge of Microsoft Office, particularly Excel.
Meritorious
- Swedish language skills.
- Experience with administration, coordination, HR support, or data management.
- Experience with SAP or another HR system.
